Apply import permits, follow up with clearing agents on issuance of IDF’S
Apply KEBS permits
Manage field staff expense files and ensure all are up to date
Work in liaison with HR to accomplish given tasks
Work in conjunction with Admin to ensure all filing is updated
Ensure all staff are compliant with employment guidelines and their work status
Maintaining and updating staff maintenance records
Working in conjunction with the Administrator to ensure timely response to customers queries.
Receive, sort and file expense receipts
Receive, sort and file field reports
Maintain and update filing system in the office: both manual and electronic
Maintain accurate records of document movements and orders
Retrieve information from files when needed
Preparation of client quotations and seeking approval for the same before sharing with clients on a timely basis. Prepares & types general correspondences, reports, memos etc
Responding to inquiries/complaints/issue’s effectively and in a timely manner
Reporting of day to day activities to seek clarity and strategies on how to resolve clients concerns
Support Directors as and when required
Prepare various reports as may be required
Any other duties assigned
• Degree/ Diploma in Business Management, Front Office Administration, or a related discipline. • At least 2-3 years’ of front office experience in a freight and forwarding industry or as a receptionist in the same • Excellent communication skills. • Innovative and solutions oriented. • Honest and with strong integrity. • Intelligent, quick learner, and quick thinker. • Good customer service skills
